Information we collect
When you contact us, we receive your name, email address, business name if supplied, the contents of your message and subsequent correspondence. We receive this directly from you. Our website hosting and form providers may also process technical information such as IP addresses, browser details, access times and security logs to deliver and protect their services.
Your business name is optional. The other contact-form fields are needed to understand your enquiry and reply. You can contact us by email instead. Please do not include sensitive personal information or confidential material in an initial enquiry.
Why we use it and our lawful bases
We use enquiry information to answer questions, discuss possible work, prepare proposals and maintain relevant correspondence. Our lawful basis is our legitimate interests in responding to business enquiries and managing business relationships. Where you ask us to take steps towards a contract with you personally, we may instead rely on taking steps at your request before entering into a contract.
We rely on legitimate interests to keep the website and communications secure and prevent abuse. Where records must be retained to meet a legal duty, our basis is compliance with that legal obligation. Where necessary to establish or defend legal claims, we rely on our legitimate interests in doing so.
Submitting an enquiry does not subscribe you to a mailing list. We do not sell enquiry information or use it for automated decisions producing legal or similarly significant effects.
Service providers and sharing
We use Wix to host this website, Formspree to receive contact-form submissions and forward them by email, and our email provider, Apple iCloud Mail, to receive and manage correspondence sent to our me.com address. These providers process information needed to deliver their services. Formspree also processes technical data for security and spam prevention.
We may share relevant information with professional advisers where needed, or with public authorities where required by law. Any sharing is limited to the purpose concerned.
Processing outside the UK
Our service providers operate internationally, so information may be stored or accessed outside the UK. Formspree states that its services are hosted in the United States and that it relies on Standard Contractual Clauses as a processor. Wix and Apple also describe international processing in their privacy information.
UK law requires an appropriate transfer basis for restricted transfers, such as UK adequacy regulations or approved contractual safeguards, including the UK Addendum where applicable. For information about the arrangements relevant to your data, or to request details or a copy of applicable safeguards, contact us at the email address above.
Provider information: Formspree privacy policy, Formspree security information, Wix privacy policy and Apple privacy information.
How long we keep information
We keep enquiries that do not lead to an assignment for up to 12 months after our last contact, then delete them. Provider copies, logs and backups may have shorter retention periods or take time to clear under the provider's deletion processes.
If an enquiry leads to an assignment, relevant correspondence becomes part of the client record. It is retained for the engagement and afterwards only for as long as needed for contractual, accounting, legal or dispute-resolution purposes. We can explain the applicable period or criteria on request. A specific legal duty or an ongoing dispute may require particular records to be retained beyond the ordinary enquiry period.
Cookies and technical information
Wix and other service infrastructure may use cookies, similar technologies and logs to operate and secure the site. Google Search Console is used to monitor search visibility; its ownership-verification tag does not itself add Google Analytics tracking to these pages. This notice does not treat browsing the site or sending an enquiry as consent to optional tracking.
Your rights
Depending on the circumstances and the lawful basis, you may ask for access to your information, correction, erasure, restriction of processing or a portable copy. You may object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing. These rights are subject to legal conditions and exemptions.
To exercise a right or raise a concern, email njbeecroft@me.com or write to the address above. We normally respond within one month; where the law permits an extension, we will explain why. We may need to confirm your identity.
Complaints and updates
You can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint. You do not have to contact us first, although we welcome the opportunity to resolve a concern.
We may update this notice if our practices change. The date above identifies the latest version.
